These Terms & Conditions govern your use of bornanomad.com and the travel planning services provided by Born A Nomad LLC (“Born A Nomad,” “we,” “our,” or “us”).

By engaging our services or making a reservation through our agency, you agree to the terms applicable to your travel arrangements.

1. Our Services

Born A Nomad is an independent travel planning business providing personalized travel research, itinerary design, booking assistance, and travel coordination.

Services may include accommodations, flights, cruises, vacation packages, ground transportation, excursions, group travel, and other travel-related arrangements.

Born A Nomad acts as an intermediary between travelers and independent travel suppliers. Unless expressly stated otherwise, travel services are provided by those suppliers, not directly by Born A Nomad.

2. Planning & Design Fees

Personalized travel planning may require a non-refundable Planning & Design Fee.

Our standard starting fees are:

Individual and Couple Travel: Starting at $150.
Group Travel: Starting at $250.

Contracted and Complex Group Travel: Groups requiring negotiated room blocks, supplier contracts, customized payment arrangements, or ongoing group coordination may be subject to a comprehensive, individually quoted planning and management fee. This custom fee replaces the standard group planning fee and is determined by the size, complexity, and scope of services required.

The applicable fee will be disclosed and agreed upon before paid planning services begin.

Planning fees compensate Born A Nomad for research, professional expertise, consultation, coordination, and itinerary development. They are separate from the cost of travel arrangements.

Planning fees are non-refundable once paid, except where otherwise required by law or expressly agreed in writing.

Payment of a planning fee does not guarantee specific pricing, availability, or confirmation of travel arrangements.

Additional services or substantial changes beyond the agreed planning scope may require additional fees, which will be disclosed before the additional work begins.

3. Reservations and Payments

Travel reservations are subject to supplier availability, pricing, policies, and confirmation.

Deposits, final-payment deadlines, cancellation penalties, and other booking conditions vary by supplier.

Clients are responsible for reviewing their reservation details and meeting all applicable payment deadlines.

Failure to make required payments may result in cancellation or penalties imposed by the supplier.

Prices and availability may change until a reservation is confirmed.

4. Airfare Reservations

When airfare is included as part of a qualifying vacation package, Born A Nomad does not charge an additional airfare booking fee.

Standalone airfare booking fees are:

Domestic flights: $25 per flight segment.
International flights: $50 per flight segment.

Any applicable fees will be communicated before booking.

Airline tickets are subject to the issuing airline's fare rules, baggage policies, change restrictions, and cancellation conditions.

5. Changes, Cancellations, and Refunds

Requests to modify or cancel reservations are subject to the policies of the applicable travel suppliers.

Depending on the reservation, deposits or payments may be partially or entirely non-refundable.

Refund eligibility, processing times, credits, and penalties are determined by the relevant supplier and applicable law.

Born A Nomad will assist clients with eligible change or cancellation requests but cannot guarantee supplier approval, refunds, or processing timelines.

Born A Nomad's Planning & Design Fees remain subject to the non-refundable terms described above.

6. Travel Protection

Born A Nomad strongly recommends that travelers consider appropriate travel protection.

Travel protection may offer coverage for certain unexpected events, depending on the policy purchased.

Coverage, exclusions, eligibility, and claims decisions are determined by the insurance provider and the applicable policy.

Clients are responsible for reviewing the terms of any offered travel protection and deciding whether to purchase coverage.

Declining travel protection may leave travelers responsible for otherwise unrecoverable expenses.

7. Travel Documents and Entry Requirements

Travelers are responsible for ensuring they possess valid passports, visas, identification, and any other documents required for their destinations and transit points.

Travelers are also responsible for complying with applicable entry, health, vaccination, and immigration requirements.

Passport validity requirements and entry regulations may vary by destination and nationality.

Born A Nomad may provide general guidance and resources, but travelers should verify current requirements with appropriate government authorities.

8. Group Travel

Group travel arrangements may involve additional deposit requirements, room-block conditions, minimum participation requirements, and supplier-specific contracts.

Where supported, individual travelers may make payments through designated secure payment systems.

Each traveler remains responsible for meeting their applicable payment obligations.

Group organizers and travelers should review all group-specific terms provided before confirming reservations.

Changes in group size or participation may affect pricing, amenities, or contracted benefits.

9. Traveler Responsibilities

Clients are responsible for:

Providing accurate traveler names and personal information.
Reviewing quotations, itineraries, invoices, and confirmations for accuracy.
Notifying Born A Nomad promptly of discrepancies.
Meeting payment and travel-document deadlines.
Communicating relevant travel preferences or special requirements.
Following applicable supplier terms and destination regulations.

Special requests are subject to supplier availability and confirmation.

10. Third-Party Suppliers and Travel Disruptions

Travel services are provided by independent suppliers, which may include airlines, hotels, resorts, cruise lines, transportation providers, and tour operators.

These suppliers control their own operations, schedules, policies, and service delivery.

Disruptions may occur because of weather, natural disasters, transportation delays, labor disputes, government restrictions, health emergencies, or other circumstances outside Born A Nomad's reasonable control.

Born A Nomad will make reasonable efforts to assist clients when disruptions arise but cannot guarantee that third-party services will operate without interruption.

Nothing in these terms excludes liability that cannot legally be excluded.

11. Website Information

We strive to keep the information on our website accurate and current.

However, travel prices, supplier policies, destination requirements, and service availability may change without notice.

Website content is provided for general informational purposes and does not constitute a guaranteed travel offer unless confirmed through an applicable reservation process.

12. Intellectual Property

Website text, branding, original graphics, and other content created by Born A Nomad are protected by applicable intellectual property laws.

Content may not be reproduced or used commercially without prior written permission, except as permitted by law.

Third-party images, trademarks, and materials remain the property of their respective owners.

13. Privacy

Personal information collected through our website and services is handled as described in our Privacy Policy.

14. Governing Law

These Terms & Conditions are governed by the applicable laws of the Commonwealth of Virginia, United States, except where other mandatory laws apply.

15. Changes to These Terms

Born A Nomad may update these Terms & Conditions from time to time.

Updated terms will be posted on this website with a revised effective date.

Changes will not retroactively alter existing confirmed contractual obligations unless agreed by the parties or permitted by applicable law.
